Digitalization and effective use of data are key for public administration. The City of Prague decided to create an innovative tool for the systematic evaluation of cultural organizations. Our task was to design and deliver a solution that would make sense in terms of data outputs and enable strategic decision-making at the city council level. We also aimed to provide a solution that would speed up and simplify reporting for individual organizations.
About project
Meet the client
Hlavní město Praha
The City of Prague is not only the capital but also the founder of dozens of cultural institutions. As part of modernizing administration and introducing data as a tool for more effective management, it decided to develop a unique digital tool, Evaluart, which helps assess the contributions of cultural organizations based on hard data as well as qualitative indicators.
Challenges
Mapping the current situation
The system had to be built “from scratch”, as no similar solution existed on the market.
Complexity of the assignment
Combining many types of data (economic, operational, publication, etc.) into a single evaluation model.
Participation and clarity
The solution must be usable both for the city council and for cultural institutions. Emphasis was placed on an intuitive user interface and transparency.
Our solutions
Organizations connected into a single unified reporting system
In the unified reporting system, we integrated data from 16 contributory organizations that use 7 different ticketing systems and 4 social networks.
Hours invested
During stages 1 and 2, we carried out a thorough analytical audit in which we mapped processes and proposed digitalization. In the following stages 3 and 4, we implemented a web application that serves as a key foundation for further development.
Data foundation
All information about cultural organizations, their performance, financing, and impact is stored in a unified data environment. This ensures consistency, easy comparability, and sustainability of the entire system.
Advantages of the new system
Transparent decision-making
Organizations are able to work with their own data and present materials for discussions.
Support for strategic planning
Prague has a clear tool for the evaluation and development of cultural entities.
Streamlining communication
The data collection system unifies the language between the authority and the established institutions.
Centralization of data in one place
A single shared data foundation enables accurate comparisons, minimizes duplication, and simplifies long-term information management.
Flexible adaptation to different types of organizations
Thanks to its modular architecture, the system can be adapted to the size, focus, and needs of individual cultural institutions.
Unified reporting across systems
Data from various ticketing tools and communication channels are converted into a single standardized output for effective evaluation.
Security and scalability
The solution is designed with regard to future development, secure data processing, and integration with other city systems.
